Samurai Campers Terms and Conditions

Thank you for choosing and trusting Samurai Campers. We are committed to making your journey in Japan safe, smooth, and enjoyable.

Please carefully read and acknowledge these Terms and Conditions. For your convenience, critical terms are highlighted in red on our website. If you have any questions, please contact us directly.

1. Definitions

  • Agreement: This Rental Agreement and the Terms & Conditions stated here.

  • Customer: The individual(s) named on the booking or who pays for the rental.

  • Vehicle: Any campervan rented, including its components, tools, accessories, and additional hire items.

  • Samurai Campers: Operated by Fukuoka Energy Co., Ltd. and its representatives.

2. Rates & Conditions

  • Rates and terms are subject to change until the booking is confirmed.

  • All prices are listed and payable in Japanese Yen (JPY), USD, or EUR. Exchange rates and bank fees are the customer’s responsibility.

  • Booking amendments may result in recalculation based on current rates.

3. Office Hours

  • Monday–Saturday, 9:30 AM–5:30 PM (JST).

  • Pick-up/drop-off outside these hours must be pre-approved and may incur a surcharge.

4. Rental Period

  • Rentals are calculated per calendar day. Pick-up and return dates count as full rental days.

  • No refunds are issued for early returns or late pick-ups.

5. Pick-up & Drop-off

  • Customers must inspect the vehicle at pick-up and report any issues within 24 hours.

  • Vehicles must be returned clean. Garbage (plastic, cardboard, hair, etc.) left in the van will result in a ¥10,000 fine.

6. Change of Drop-off Location

  • Requires prior written approval.

  • Fees of up to ¥100,000 may apply, depending on location, vehicle type, and distance.

7. Late Returns

  • Late fees:

    • 5:30–6:30 PM: ¥2,500

  • After 6:30 PM: Full-day rental charge applies.

  • Unauthorized late returns incur a ¥10,000 penalty per day + daily rental fee.

8. Rental Extensions

  • Subject to availability and approval.

  • Must be paid immediately upon approval.

  • Unauthorized extensions incur ¥10,000 per day + daily rate.

9. One-Way Rentals

  • Available between Tokyo (Narita), Osaka, and Fukuoka.

  • Fees range from ¥30,000–¥100,000 based on distance and vehicle type.

10. Driver Requirements

  • Drivers must be 18+ years old.

  • Must present valid passport, home license, and IDP or accredited Japanese translation.

  • All drivers must be listed at pickup.

11. Vehicle Use Restrictions

  • No off-road, beach, flooded area, or snow-chain driving.

  • No smoking, pets, or illegal use.

  • Customers are responsible for misuse-related damage.

  • Do not alter or modify the vehicle.

  • Customers must avoid parking in open rain during storms to prevent water damage.

12. Maintenance & Repairs

  • Malfunctions must be reported immediately.

  • Approved repairs reimbursed with receipts.

  • Tire damage is customer’s responsibility unless due to defect.

  • Repairs must be done at our branches unless otherwise approved.

13. Roadside Assistance

  • Covers mechanical faults only.

  • Customer bears cost for:

    • Fuel issues

    • Locked or lost keys

    • Battery drainage due to misuse

    • Self-inflicted damage

  • Electrical issues occurring post-rental are not covered.

14. Vehicle Availability

  • If the selected van is unavailable, a similar vehicle will be substituted.

  • Only the original deposit will be refunded; no compensation for external costs.

  • Currency exchange loss and bank transfer fees are not covered.

15. Insurance Exclusions

Customer is fully liable for:

  • Unreported accidents (no police report)

  • Unauthorized/unlisted drivers

  • Driving under influence or illegal activity

  • Damage after rental expiration

  • Damage from misuse, snow chains, overloading, or poor driving

  • Lost keys or recovery

  • Incorrect fueling or fluid use

  • Underbody or overhead damage (unless extended coverage is taken)

  • Smoking penalties (¥10,000)

  • Vehicle movement after accident — 0% insurance coverage

16. Accidents & Replacement Vehicles

  • Call 110 (police) and contact Samurai Campers immediately.

  • Do not move the vehicle unless instructed.

  • Exchange vehicle delivery is not guaranteed and may incur extra fees.

  • New rental agreement and deposit required for replacement.

    16.1 General Breakdown Policy

    Samurai Campers maintains all vehicles with regular inspections and servicing.
    However, mechanical failures can still occur, and in such cases:

    • We provide free towing to the nearest branch or partner garage.

    • We provide a replacement vehicle when available.

    • No additional rental fees are charged for the lost time during towing and vehicle exchange.

    This is the maximum compensation Samurai Campers provides.


    16.2 No Responsibility for Personal Losses or Personal Costs

    Samurai Campers is NOT responsible for any personal expenses caused by delays, including but not limited to:

    • Phone top-ups, SIM cards, roaming charges

    • Loss or damage to personal devices

    • Meals, snacks, drinks, or any food purchased during the wait

    • Tolls, fuel costs, or transportation costs unrelated to the mechanical repair

    • Accommodation changes, ticket changes, or schedule disruptions

    • Loss of holiday time or personal inconvenience

    • Costs caused by customer not having a Japanese phone number

    These expenses will not be reimbursed under any circumstance.

    Customers are responsible for having:

    • Travel insurance

    • Proper communication options (SIM/eSIM)

    • Personal backup plans


    16.3 Fuel, Toll & Consumables Policy

    The following are always 100% customer responsibility, even during breakdowns:

    • Fuel already consumed

    • Fuel refills before or after breakdown

    • Toll costs

    • Highway fees

    • Parking fees

    • Consumables (water, snacks, lunch, drinks, etc.)

    Samurai Campers does not reimburse these.


    16.4 Replacement Vehicle Conditions

    If the vehicle cannot be repaired immediately:

    • A replacement vehicle will be provided if available.

    • Replacement will be the same class or similar (not always identical model).

    • No refunds or compensation will be issued if the replacement is different from the original.

    • No refunds for customer dissatisfaction with the new route, changed schedule, or lost time.

    A new security deposit may be required for the replacement vehicle.


    16.5 No Compensation for Customer’s Itinerary Changes

    Samurai Campers does not compensate for:

    • Missed tourist spots

    • Missed reservations

    • Changed travel plans

    • Lost holiday days

    • Delayed check-in/check-out

    • Additional driving required to “return to the previous location”

    • Emotional or subjective “stress” or “inconvenience”

    The customer understands that travel plans may change and accepts that Samurai Campers is not liable.


    16.6 Required Behaviour During Breakdown

    To maintain insurance coverage:

    1. Customer must STOP driving immediately when an issue occurs.

    2. Customer must contact:

      • 110 (police) if an accident or safety issue occurs

      • Samurai Campers Branch for mechanical issues

    3. Customer must not attempt repairs unless authorised.

    4. Customer must follow instructions provided by Samurai Campers staff or tow company.

    Failure to follow procedures may void insurance.


    16.7 Customer Phone & Communication Responsibility

    Customers must ensure:

    • They have a functioning SIM/eSIM

    • They can receive calls from Japanese numbers

    • They can provide location details to the tow company

    If the customer cannot be contacted due to:

    • No Japanese SIM

    • No internet

    • Phone issues

    • Dead battery

    • Phone damage
      Samurai Campers is not responsible for delays or related costs.


    16.8 Limit of Liability

    Samurai Campers’ maximum liability in a breakdown is:

    • Free towing

    • Repair of the vehicle

    • Replacement vehicle (if available)

    • Unused rental days refunded only if no replacement is possible

    No further compensation will be issued.


    16.9 Customer Misuse Exclusions

    If breakdown is caused by the customer, no replacement or refund will be provided.
    Examples include:

    • Driving with warning lights on

    • Overheating due to continuing to drive with low coolant

    • Incorrect fuel

    • Off-road or restricted area driving

    • Damage caused by negligence

    Repair costs will be charged fully.


    16.10 Agreement & Acceptance

    By booking with Samurai Campers, the customer agrees that:

    • They accept all policies listed above.

    • They understand that personal expenses during breakdowns are not reimbursable.

    • They accept the replacement vehicle and towing policy as the full and final solution.

    This prevents any future disputes or compensation requests outside the rules stated here.

17. Liability

  • Samurai Campers is not responsible for injuries, personal belongings, or third-party damages.

  • Travel insurance is strongly recommended.

18. Traffic Violations

  • Customer pays for all traffic tickets and toll violations.

  • ¥5,000 admin fee per offense.

19. Payments

  • Payment via bank transfer, cash, or card (PayPal: 4%)

  • International transfers incur additional ¥5,000 fee.

  • Unpaid rentals may be canceled.

20. Cancellation Policy

  • 60+ days before: No charge

  • 30–59 days: 30%

  • 15–29 days: 50%

  • 0–14 days: 100%

21. Contract Termination

Rental will be terminated if:

  • Fraud or safety risks are discovered

  • Rental conditions are violated

  • Vehicle is abandoned or not returned on time

  • No refund is issued for terminated contracts

22. Defamation & Public Image

Any harmful or misleading media (photos, videos, posts) that negatively affect Samurai Campers, its staff, or reputation may result in legal action under Article 230-1 of Japan’s Penal Code.
